Guide to formatting Email Messages

When composing a bulk email in Xen, you can use the following formatting options to improve communication with learners.

Styling

Messages support HTML formatting, including:

  • Text styling (bold, italics, etc.)

  • Hyperlinks

For more details on formatting content, refer to Xen's guide on text components.

Restricted HTML Content

The Bulk Email tool restricts certain HTML elements. The following cannot be used in email messages:

  • iframe

  • svg

  • form

  • script

Note:
If a message contains restricted HTML, that code will not be rendered or removed, but converted to plain text. Always send a test message to yourself before sending to larger groups to verify formatting.

Images

You can add images to messages, but only if they are first uploaded to your course files via Files & Uploads in the Authoring Tool.

To embed an image:

  1. Upload the image to the course via Files & Uploads.

  2. Copy the full web URL generated for the image.

  3. In the email editor, select the Insert/edit image icon.

  4. Paste the image URL into the dialogue box.

Note:
SVG image files are restricted. Please use standard formats like JPG or PNG.

To ensure your images are transmitted securely, use a URL that begins with https:// as follows:

https://learn.myxen.com/asset-v1:{course}.x+{run}+type@asset+block@{image}.jpg
