How to monitor your video usage
Keeping track of your video storage and playback usage is key to ensuring you stay within your subscription limits. Xen’s Hosted Video (Xen Stream) offers an intuitive reporting feature that allows you to monitor your current storage and playback status at a glance. Here's how to use the reporting feature effectively.

Step 1: Access the Hosted Video Component

Navigate to the Multimedia section in your course, and select the Hosted Video component. Here, you can either upload a new video or browse existing videos from your video library.

Step 2: View Usage Indicators

At the top of the video browsing window, you’ll see a usage summary that shows your Current Storage and Current Playback time compared to your monthly quota.
  • Storage Quota: Reflects how much video storage (in minutes) you've used for the month compared to your plan's limit.
  • Playback Quota: Displays the total video playback time for the month, indicating how much of your quota has been used.

Step 3: Capacity Indicators

To help you stay within limits, the system uses colour-coded capacity alerts:
  • Green (Safe): Indicates you’ve used less than 50% of your quota. No immediate action is required.
  • Orange (Warning): You’ve used between 50% and 74% of your quota. Keep an eye on your usage, as you are nearing your limit.
  • Red (Critical Warning): You’ve used between 75% and 99% of your quota. Be cautious, as you are approaching the maximum capacity.
  • 100% Used: When you reach 100% of your storage or playback quota, uploads and further streaming will be restricted until the usage resets for the next month.

Example Usage Display

If your plan includes 1,000 minutes of storage and 1,000 minutes of playback per month, the reporting feature will show:
  • Storage: For example, if you’ve used 704 minutes (70%), this will be displayed as 704m (70%).
  • Playback: Similarly, playback usage will display the total time consumed for viewing videos and show how much is left in your quota.

Step 4: Managing Alerts

If your storage or playback is reaching critical levels, you’ll receive an alert in the form of a red banner at the top of the page:
  • "Your account has 30% storage capacity remaining. Uploads will be restricted at 100%."
When this appears, consider optimising your video library by removing unnecessary content or upgrading your plan to increase capacity.

Understanding the Limits

The usage reports reflect the following limits:
  1. Video Upload Limit: Each video uploaded cannot exceed 30 GB.
  2. Concurrent Uploads: Up to 120 videos can be in progress, queued, or in downloading status simultaneously. Once uploaded, they do not count toward this limit.
  3. Storage Quota: Once the storage quota is exceeded, you will not be able to upload new videos.
