Courses Bundles

Courses Bundles enable staff users to group multiple courses into a single entity, known as a "Bundle." This allows for unified management of related courses, including setting schedules, managing enrolments, and controlling activation status across all bundled courses.

Benefits of Courses Bundles:

  • Simplified Enrolment: manage enrolments across all courses in the bundle at once.

  • Unified Management: Manage course schedules and status in bulk.

  • Decluttered Dashboards: Courses Bundles appear as folders on the Dashboard, making it easier to navigate through large course catalogs.

  • Preserved Course Integrity: While courses are managed as part of a bundle, their content remains unchanged.

How Courses Bundles are Managed in the Admin Interface

Main Interface:


  • The Courses tab in the Xen Admin Panel displays both bundled and un-bundled courses.

  • Courses Bundles are clearly labelled (e.g., "Data Science Level 1 (3)"), with the number of courses included in brackets.

  • Courses within a bundle are listed as sub-items, while un-bundled courses are shown separately.


Creating a Bundle:


  1. Navigate to the Xen Admin Panel.

  2. Go to the Courses tab.

  3. By default, all courses are un-bundled.

  4. Select two or more courses from the list.

  5. Use the Bulk Actions dropdown and choose Bundle Courses.

  6. If any of selected courses have active enrolments, you will be prompted that this will CANCEL the enrolments effective immediately, thus preventing Learners from seeing the Courses until you enrol back them in the bundle.

    Note: Learners will NOT lose their Progress in any course as a result.

  7. Name the Bundle, adjust the Schedule, and save. The bundle will now be listed under your managed courses.

    Note: The new Schedule will replace all included Courses' start and end dates. Do not use Bundles if you want different schedules, or create several bundles to match your needs.


Editing and Managing Courses Bundles

When editing a bundle, the following tabs are available:

  1. Details Tab:

    • Allows admins to set or update the bundle name.

    • Define or change the schedule start and end dates for all courses within the bundle.

    • Save changes to apply them to all bundled courses simultaneously.

  2. Courses Tab:

    • Lists all courses currently grouped within the bundle.

    • Admins can add or remove courses from the bundle here.

  3. Enrolments Tab:

    • Displays users enrolled in the courses within the bundle.

    • Admins can enrol or unenrol users in bulk, impacting all courses within the bundle at once.

Bulk Management within Courses Bundles:

  • Schedule: Set start and end dates for all courses in the bundle simultaneously.

  • Enrolments: Add or remove learners across all bundled courses in one action.

  • Activation Status: Change the status (active/inactive) for all courses within a bundle simultaneously.

Important Notes:

  • One bundle per course: A course can only be part of one bundle at a time.
    If a course is already included in another bundle, it will not be available for selection in other bundles.
    You can duplicate or re-run a course so they can exist in separate bundles.

  • Activation Control: Setting a bundle to active or inactive will impact all included courses, reflecting the bundle's status.

FAQs:

  1. Can I add the same course to multiple Courses Bundles?

    • No, a course can only exist in one bundle at a time. However, you can duplicate or re-run any course so that it can be included in various Courses Bundles.

  2. Will learners receive notifications for Courses Bundles?

    • Notifications are sent for individual courses, but not for the bundle as a whole.

  3. How do learners view Courses Bundles?

    • Courses Bundles appear as folders in the their dashboard.

  4. What happens if a bundle is deactivated?

    • All courses within the bundle will be set to inactive status.

Availability:

The Courses Bundles  is automatically available in new Xen tenancies. For existing tenancies, this  can be enabled upon request.
